Three weeks. That’s all we had to fully prepare a professional backstage setup for a team of hairstylists at the Karlovy Vary International Film Festival. Our task was to ensure event support, production, accommodation, and logistics so that the entire operation ran smoothly and the client’s brand was presented in a premium light.
Festival operations in Karlovy Vary mean limited space, high standards, and zero room for error.
The client required a fully functional hairstyling backstage for 20 professionals, including accommodation, parking, and full service—just three weeks before the start of the festival. Every detail, from workstation layout to the timing of material production, had to be perfectly aligned.
Event support and operations
We designed a complete hairstyling setup including chairs, mirrors, lighting, and backstage storage areas. Emphasis was placed on spatial ergonomics, smooth operations, and branded visuals aligned with the festival’s identity.
Accommodation and parking
We secured block accommodation reservations for the entire team within walking distance of the city center. The scope also included parking management and coordination of arrivals and unloading in the city center to ensure smooth, hassle-free operations.
Gift bags and promotional materials
We produced and packed 160 gift bags according to an exact checklist. At the same time, we managed the production and procurement of promotional materials (signage, print materials, décor, packaging), with a strong preference for local and reusable materials.
The project was delivered within a three-week window from brief to team arrival. The client team operated without a single issue, and visitors walked away with a great experience.
